Purchase and procurement
Purchase requests, quotations from suppliers (RFQ), purchase orders, goods receipt, the supplier's bill and payment.
Who uses it: Purchase and stores teams, and accounts who pay the suppliers.
What the company gains
- Compare quotations and buy at the best price.
- No purchase without approval.
- Pay a bill only when it matches the order and the receipt.
- Score suppliers on price, quality and delivery.
Numbers to watch
- Purchase price variance
- Supplier on-time delivery
- Supplier rejection rate
- Bills paid within the MSME limit
Government rules to follow
- Input tax credit
- Claim only when the goods are received and the invoice is in your GSTR-2B. Reverse it if the supplier is unpaid after 180 days.
- Reverse charge
- For some purchases (for example goods transport and legal services) the buyer pays the GST, not the supplier.
- MSME suppliers
- MSMED Act s.15: pay micro and small suppliers within the agreed time, never later than 45 days.
- TDS
- Income-tax Act, 2025: TDS on contractor payments and, for bigger buyers, on large purchases of goods.
