ERP basics
Moving from Tally or Excel
Moving to an ERP means bringing your masters (customers, suppliers, items, accounts) and opening balances across on a fixed start date, then running the new system from that date.
Who it is for: Businesses whose books are in Tally or another accounting package and whose stock, orders and production live in spreadsheets.
Key points
- Start on the first day of a month or quarter, so the opening balances are already audited.
- Bring masters first, then opening balances, then open orders. Not old transactions.
- Check that the trial balance and stock value match the old system to the paisa before going live.
- Keep the old system read-only for reference; do not run both for months.
What the law expects
- Keep the old books
- Companies: 8 years. Income-tax: 7 tax years. GST: 72 months from the annual return due date. Archive the old data, do not delete it.
- Same GSTIN, same series
- Invoice numbers must stay unique within the financial year (GST Rule 46). Start the new series where the old one stopped.
